Privacy and your data
How Job Hunt HQ uses your information, and your rights under UK GDPR and the Data Protection Act 2018.
Who looks after your data
Job Hunt HQ is run privately by its owner, who invites people to use it. The owner is responsible for your data (the “controller”). For any question or request, email info@jhhq.co.uk. You can also use the Feedback button once you're signed in.
What's stored, and why
- Your account: name, username and email. Your password is stored only as a secure scrambled “hash” – nobody can read it.
- Your details and career: what you enter in My settings, My career and Create CV, and the CV you upload – used to find and score jobs, write your cover letters and CVs, and fill in application forms when you ask it to.
- Your jobs and applications: the jobs found or saved for you, your letters, and where each application has got to.
- Gmail (only if you connect it): emails are read automatically, only to recognise replies about your job applications and job-alert emails. For those it keeps the sender, subject, date and a short preview. Every other email is ignored and nothing is saved from it. Job Hunt HQ can't send, change or delete anything in your Gmail.
- Feedback you send, with any screenshot.
- Security records: to keep accounts safe and enforce the Acceptable use rules, the website notices things like repeated failed sign-ins, made-up assistant keys, one assistant file used from many places, very fast bulk applications, or a used invite link being tried again. When that happens it records what happened, the username and the internet (IP) address, and emails the owner. These records are only seen by the owner, are used only for security, and are deleted after 90 days. The legal basis is our legitimate interest in keeping the service and your data safe.
The legal basis is your consent and providing the service you've asked for. Nothing is sold, shared with advertisers, or used to train AI. Nobody else who uses Job Hunt HQ can see anything of yours.
Nobody reads your emails
No person looks at your Gmail through Job Hunt HQ – not the owner and not other users. Everything happens automatically, and each person's data is kept in its own separate store. The owner's admin pages show only names, usernames and when people last signed in.
AI and job sites
If AI writing is switched on, the advert and the relevant parts of your CV are sent to Anthropic's Claude to write a draft, and nothing else. Job searches send only the job title and place to Reed, Adzuna and the other job sites – never your personal details.
Your rights
- See your data – Account → Download my data gives you everything in one file, straight away.
- Ask how it's used – email the owner or use Feedback, and you'll get an answer within one month.
- Correct it – change anything in My settings and My career, or ask.
- Delete it – Account → Delete my account removes your account and everything stored for you, immediately.
- Take it elsewhere – the download is a standard file you can keep or move.
- Withdraw consent / object – disconnect Gmail in My settings at any time, or stop using the service.
If you're unhappy with how your data is handled, you can complain to the Information Commissioner's Office: ico.org.uk.
How long it's kept, and where
Your data is kept until you delete it or your account. It's stored on the service's server (in the EU for the website) and backed up only by the owner. Connections are encrypted (HTTPS).
